All rooms within our block are subject to policies agreed to by booking.
You acknowledge that you have read, agree and understand these terms by completing an installment on the room. You understand that attempting to circumvent policies may result in being banned from LVFC.
- Booking. All contracted buyout hotels (Alexis Park, Serene, Embassy) are booked via ConCat. You must have a registration in order to book a room. Other hotels (e.g. the Tuscany, Virgin, etc.) are booked via a direct booking link.
- Starting LVFC 2027, most rooms at Alexis Park and Serene Boutique are initially assigned by raffle, with any remainder going to first come, first served. Staff and Dealer rooms are assigned first come, first serve. Block Party host rooms are assigned via application.
- All buyout hotels booked through ConCat have Thursday (March 25th) checkin, Monday (March 29th) checkout. Guests may depart early but will not receive a partial refund.
- Adding a deposit to your cart removes it from circulation (i.e. it cannot be booked by someone else); please pay within 48 hours to be fair to others. We regularly cancel unpaid deposits so everyone has a chance to book. If you already have a room in our block, adding a second room to your cart is your consent to cancel the original and transfer existing deposits.
- Cancellations: If you must cancel your room for the buyout nights, go into your Order History and request refunds on room deposits. You must cancel separate reservations (e.g. if you bought Thursday-Sunday through LVFC and Wednesday through the hotel directly) separately.
- Reservations without a registration are subject to cancellation. If you cancel your registration, your room will be void.
- Reservations are non-transferable until the room list is handed over to the hotel; this is expected to happen March 3rd, 2027. After the list has been handed over, you may contact the hotels to change names on the room.
- Payments and Schedule. All rooms at buyout hotels will require a deposit (“Installment One”) up-front to book. This is fully refundable if cancelled on or before February 1st, 2027. After that date, one-quarter of the price is forfeited. If cancelled after March 1st, half the price is forfeited. Forfeited deposits are retained as credit on your account for use in future years. You must contact [email protected] to have credits applied.
- The remaining portion of the 4-night stay is paid in separate installments. Installment 2 is due January 8th, 2027; Installment 3 is due February 8th, 2027. Payment extensions may be given but are not guaranteed. You can pay deposits in advance for peace of mind. Deposits/installments are not automatic and must be paid manually.
- Installments/deposits are paid in order; i.e. you must buy 1, then 2, then 3. You can add them all to your cart at once, but must do so in order.
- To improve tracking, we sometimes add the next deposit to your cart. You do not have to pay it immediately, but it serves as a reminder.
- Bundled Registrations. All rooms at Alexis Park and Serene include the cost of two additional registrations as a surcharge on their final deposit; this will total $198. This helps fill rooms to capacity. Voucher codes will be e-mailed out after March 1st. These voucher codes may be given to friends, roommates, or used to upgrade registration (if available). If a room is cancelled, the voucher codes and associated registrations will be revoked as well.
- If you want to give a voucher to a roommate who already registered, have them request a refund; once the refund is processed, they can then re-register with your voucher code(s).
- Voucher codes may also be used on oneself; ask to refund your original registration and re-register with the code(s).
- We recommend telling the roommate you plan to give a voucher to that they should hold off on registration.
- Room Limits: There is a strict limit of one (1) room per name at Alexis Park OR Serene; i.e. you can only have a single reservation between them. This applies whether you are staff, dealer, attendee or otherwise. We do not impose restrictions on additional rooms at Embassy or Tuscany. For example: you can have one (1) Alexis Park room OR Serene room, but also book a room at Embassy for friends. You can also book multiple rooms at Embassy for you and your group.
- Party Policies: Party rules vary by property as we have varying or no contract terms with each. Check our Party Policies page or each property’s page below for information.
- Other Hotel Policies: Every hotel has its own separate policies; we try to record them all on our pages for those properties, but the list is not exhaustive and you agree to adhere to property rules by staying there.
