Greetings LVFC Attendees,
Our hotel block is scheduled to open in July for those who have registered during the initial cap period, with general, unrestricted opening on July 30th, 2025. Please check Registration for eligibility to register during the initial cap.
Dealers, VIPs, and Staff need not worry about registering or booking at this time as we have dedicated blocks for them.
We are sharing this post as a general preview of what to expect with our block for our fourth year. Full details on each hotel will be released shortly.
What Has Stayed the Same
- Rooms without registration are subject to cancellation.
- Most of our functions are at Alexis Park.
- We are slated to buyout the Alexis Park and Serene Boutique for four days with four night minimum stays (Thursday, Friday, Saturday, Sunday).
- We will make use of emails in case of any important reminders/policy changes. Please make sure the email you put in your registration is verified in ConCat, and the inbox is actively monitored or forwards to one that is.
- Hotels will have varying policies which should be reviewed before booking; these will be shared on our Hotels page once it is ready to be published.
What Has Changed
- As discussed last year, registration (and hotel booking) is initially capped; this cap will last until July 30th, when all hotel rooms and registration open without restriction. Please see Registration for details.
- We have added a third buyout property, the Embassy Suites around the corner (about 0.6 miles). We plan to provide regular shuttle service. The Embassy is a quieter hotel and strictly anti-party.
- Our buyout properties (AP, Serene and Embassy) are all booked via our registration system in ConCat. This is the system that was used to book Serene rooms in 2025. Each hotel will have a different method for extending to shoulder dates (Mon-Wed on either side of the event); the hotel’s page on this website should be consulted for notes on extension. NOTE: since the hotels do not have your information until we turn over the list of guests, they will have no record of you if you call to extend and you are effectively booking a separate reservation to combine at check-in. Adding a room to your cart removes it from circulation; please pay promptly (within 72 hours) to avoid it being cancelled and returned to the pool.
- ADA Rooms at buyout properties are initially in a separate block that is locked so only those with an Accessibility request can book them. If you require an ADA room and are otherwise eligible to book rooms (i.e. have a registration), please contact [email protected] and CC [email protected] requesting one; we suggest noting if you need a tub with bars or roll-in shower to help us accommodate you. You do NOT have to disclose any specific disabilities or medical conditions. Once your request is received, we will make a note on your account so that you are able to access and book our ADA rooms. Please note that while we will work to accommodate all ADA room requests, there is a limited number of them and we may not be able to. ADA rooms are restricted access until closer to the con, at which point they will be released for general reservation.
- Majestic and Regal (2 Story 2 Bedroom) Suites at Alexis Park are not in the general block, but now will be distributed by other methods, TBD.
- Booking deposits for our main properties are now two-nights’ room, tax and resort fee (if applicable). This is fully refundable if cancelled on or before February 1st, 2026. After February 1st, cancellation will incur a loss of one night’s room, tax and fee. After March 12th, cancellation incurs a loss of one night’s room, tax and fee.
- The rest of the four nights are paid in installments of one night each. Installment 2 is due January 15th; Installment 3 is due February 15th.
- Installment 3 has additional registrations tacked onto its price (1 registration for a 1 bed, 2 registrations for a 2 bed). Vouchers for registrations or upgrades will be mailed out closer to the event. If you cancel your room, the registrations associated with its vouchers will be voided.
- We are planning to release different hotels on different dates in July.
Why the Changes
- Capped Registration. A registration cap limits a rush for rooms on opening day, so people who are registered have peace of mind. This also allows us to reward our biggest supporters year-to-year by giving them advance access. Please note: we do set aside some registrations each year so new people always have a chance to grab an early registration and by proxy get into our hotel block.
- The Embassy. We have purchased a third hotel to solve our increased demand for hotel rooms while also retaining a buyout property. The Embassy also resolves our need for a “quiet” property close to the event.
- Reservations. Having different booking systems for every hotel caused confusion. In addition, the event paying directly for hotels and breaking the cost up into reservations sold to attendees allows us to book more properties, as it is the norm for Vegas’ many corporate events.
- ADA Rooms. Putting ADA rooms in a separate block helps us accommodate attendees who need them. In previous years; it was confusing to book the rooms before they were grabbed by other attendees.
- Majestics and Regals. Majestics (1,000+ sqft) and Regals (1,200+ sqft) are our high-demand suites and we only have about 17 of them. Separating them from the block allows us to provide a fairer system of distributing them rather than a mad rush at booking.
- Increased Deposits. Requiring two nights up front helps us meet all our deposit deadlines. It also significantly reduces the rate of cancellation/defaulting on installments, reducing stress on our staff as we do not need to quickly rebook cancelled reservations. We are aware it may be difficult for some attendees to pay for two nights rather one up front, and that is why we want to disclose this change ahead of time so attendees can find roommates sooner.
- Installment Schedule. We have varying payment rules for our different properties and this installment schedule allows us to meet all of them rather than introducing a confusing system of different deadlines for each property.
- Bundled Registrations. Bundled registration helps us fill rooms to capacity, ensuring the most attendees possible are enjoying our event.
- Different Hotel Dates. It is a common source of frustration during Opening Day to go and book your top choice hotel, then when that sells out, go to your second choice, only to see it is also sold out. Releasing our hotels in waves will allow people to try for their first choice, then their second, etc.
Overview
LVFC is growing rapidly as an event (over 40% per year as an event less than four years old), and we are having to move fast to meet our needs. This entails expanding our negotiating power to secure more space/hotel rooms, while also improving the efficiency of our organization so our staff can do more with our available resources. We are also wanting to be sure what space we do have is reserved for our community members.
All of these together have moved us towards the conclusion we must shift towards buying out hotels as a group, then selling rooms to attendees; this closely resembles the “Residency” model many European cons have of combining hotel booking and event registration in a single purchase.
This also gives us greater control of our hotels so we can maximize how much of our experience is reserved for community members. We are also able to provide a higher level of service for our attendees with disabilities, our volunteers, and our room hosts through direct control of our hotels.
LVFC is aware that our changes may incur additional difficulties due to finances and PTO availability. We maintain a robust refund policy for registration and rooms in case plans change, and also try to facilitate roommates through our channels to help with deposits.
We understand that our approach of doing things is different from most US conventions, but that is nothing new for a 21+ convention in the Entertainment Capital of the World. We hope this post clarified our changes and reasoning behind you, and hope to see you at LVFC 2026, April 2nd to 5th!
